Virtual Administrative Assistant

 Job Summary:

We are looking for a highly organized and detail-oriented Virtual Administrative Assistant to provide comprehensive administrative support to the director of operations and our team. The ideal candidate is proactive, reliable, and adaptable, with strong communication and organizational skills. This role requires the ability to manage daily operations, coordinate schedules, and support projects while maintaining confidentiality and professionalism.

Key Responsibilities:

  • Schedule and coordinate meetings and appointments.
  • Manage daily administrative tasks and handle basic intake tasks.
  • Prepare reports and conduct research as needed.
  • Keep daily operations organized and running efficiently.
  • Draft, edit, and proofread emails, documents, and presentations.
  • Manage communication, including answering calls, and performing follow-ups.
  • Maintain and update contact lists and databases.
  • Assist in organizing virtual events and team meetings.
  • Track deadlines and ensure timely completion of tasks and projects.
  • Provide reminders and status updates to team members and stakeholders.
  • Assist with travel arrangements, when required.
  • Help identify and implement process improvements to enhance team efficiency.
  • Support with additional administrative tasks as needed to assist the wider team.
  • Perform other tasks related to the position.

Qualifications & Requirements:

  • Proficient level of English (written and spoken).
  • Strong interpersonal communication skills with the ability to engage effectively with cross-functional teams, internal leaders, providers, and potential clients.
  • Positive attitude and a professional approach to problem-solving, with strong attention to detail and the ability to learn quickly.
  • Excellent organizational and follow-up abilities.
  • Energetic, self-motivated, proactive, and eager to contribute to a growing business.
  • Excellent Email etiquette.
  • Out-of-the-box thinker, detail-oriented, reliable, and professional.
  • Availability to work either from 5PM to 1AM EST or 2AM to 9AM EST (New York time zone).
  • Ability to handle confidential information with discretion.
  • Prior experience in roles such as administrative assistant, secretary, personal assistance, operations support, or other relevant positions.
  • Proficiency in Microsoft Office (Word, Microsoft Excel) and Google Workspace (Docs, Sheets).
  • Experience with Asana or other task management tools is a plus.
  • Sound judgment and the capacity to comprehend and execute instructions promptly with minimal supervision.
  • Reliable computer (Windows 10 or newer), two monitors, and stable high-speed internet.

Compensation & Benefits:

  • 100% remote work.
