- Handle incoming calls using multi-line phone systems, demonstrating excellent phone etiquette and providing exceptional customer support.
- Respond promptly to emails and messages, ensuring clear communication and timely follow-up on tasks.
- Perform data entry and filing tasks accurately, maintaining organized digital and physical records.
- Assist with bookkeeping activities using QuickBooks or similar accounting software to support financial record-keeping.
- Support front desk operations by greeting clients or visitors virtually, managing appointment confirmations, and providing professional assistance.
- Proofread documents for accuracy, clarity, and professionalism before distribution.
- Conduct research, compile reports, and prepare presentations to aid decision-making processes.
- Coordinate travel arrangements and calendar management for team members or executives as needed.
- Provide administrative support for special projects or initiatives, ensuring deadlines are met efficiently.
- Maintain office supplies inventory and facilitate procurement processes when necessary.
- Offer bilingual support if applicable to enhance communication with diverse clients or team members.

Qualifications/Requirements:
- Proven experience in office management, administrative support, or as a personal assistant with strong organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Calendar).
- Excellent computer literacy including data entry, proofreading, and document formatting skills.
- Familiarity with QuickBooks for bookkeeping tasks is a plus.
- Experience with front desk operations or medical/dental receptionist duties is advantageous.
- Strong customer service orientation with professional phone etiquette across multi-line phone systems.
- Bilingual abilities are highly desirable to communicate effectively with a diverse clientele.

- Typing speed of at least 60 words per minute for quick data entry tasks.
- Knowledge of office equipment such as printers, scanners, and fax machines is beneficial but not required.
