Job Overview
Seeds of Growth Counseling is seeking a highly organized and personable Virtual Assistant to support the operations of a busy Group Psychotherapy Practice. This remote position offers the opportunity to assist with administrative tasks, client communication, and practice management. The ideal candidate will possess strong office management skills, excellent communication abilities, and proficiency with various office tools. This role is essential in ensuring smooth daily operations and providing exceptional customer support in a professional environment.
Duties
- Manage front desk responsibilities including greeting clients via phone and email
- Maintain accurate records through data entry, filing, and document proofreading
- Utilize Microsoft Office and Google Workspace for correspondence, scheduling, and documentation
- Oversee calendar management for therapists and staff to coordinate appointments and meetings
- Support bookkeeping activities using Gusto
- Provide administrative support such as typing reports, managing client files, and supporting billing processes
- Support client support efforts by responding promptly to inquiries and follow-up communications
Experience
- Prior office management or administrative experience preferred, especially in healthcare or mental health settings (Plus if worked with EHR system, Simple Practice)
- Familiarity with clerical tasks such as data entry, filing, proofreading, and calendar management
- Experience using Google Workspace (Gmail, Calendar, Drive)
- Knowledge of Gusto and Simple Practice software is advantageous
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
- Excellent customer service skills with professional phone etiquette
- Previous experience as a personal assistant is beneficial
